Workday Payroll Readiness Lead

What you should know: Mulberry is partnering with our long-time client as they prepare to implement Workday across the organization. They are seeking a contract employee who has done consulting style of work supporting companies moving to Workday with expertise in payroll processes and procedures. This work will primarily focus on conducting a comprehensive review of payroll system and operations to support a future transition from UKG to Workday Payroll and Time Tracking. This position will provide practical recommendations regarding process improvements, risk mitigation, documentation, and Workday readiness. This project is anticipated to last three months with a part-time schedule requiring flexibility.
Key Responsibilities:
Current Payroll Operations
- Review current end-to-end payroll operations, workflows, and supporting documentation.
- Analyze full scope of payroll processes including:
- Conduct stakeholder interviews and process discovery sessions.
Process Documentation
- Evaluate existing payroll procedures, work instructions, checklists, and controls documentation.
- Create detailed current-state process documentation for undocumented or partially documented payroll activities.
- Develop process maps, workflows, decision trees, and future system requirements.
- Identify process ownership, key dependencies, and handoff points across Payroll, HR, Benefits, Leave Administration, and Finance.
- Review existing payroll validation, reconciliation, and audit processes.
- Recommend improvements that reduce risk and improve sustainability.
Workday Payroll & Time Tracking Readiness
- Review documented UKG payroll and timekeeping processes through a Workday implementation lens.
- Identify current-state processes that may require redesign, simplification, or future-state decisions during Workday implementation.
- Highlight potential challenges related to:
- Payroll configuration
- Timekeeping practices
- Pay rules and earnings structures
- Reporting and auditing requirements
- Integrations and data dependencies
- Support identification of design considerations and testing priorities for future Workday workstreams.
Recommendations & Deliverables
- Review current-state payroll process inventory.
- Produce process documentation for identified gaps.
- Develop a prioritized list of recommendations.
- Provide a Workday readiness summary outlining areas requiring future design, testing, validation, opportunities, risk or change management activities.
Experience & Qualifications:
Required Qualifications
- Strong understanding of end-to-end payroll operations in a multi-state environment.
- Experience documenting business processes, workflows, controls, and operating procedures.
- Demonstrated ability to conduct process reviews and identify operational improvement opportunities.
- Experience gathering requirements through stakeholder interviews and workshops.
- Experience with Workday Payroll and/or Workday Time Tracking.
- Strong analytical, documentation, and organizational skills.
Preferred Qualifications
- Experience with UKG payroll and timekeeping solutions.
- Experience supporting payroll transformations, ERP/HCM implementations, or readiness assessments.
- Certified Payroll Professional (CPP) preferred.
- Consulting, auditing, business analysis, or process improvement background strongly preferred.
Compensation and Benefits: Hourly rate DOE and agreed to number of weekly hours. Anticipate an hourly rate of $100-$150/HR. Benefits may be available for eligible candidates through Mulberry’s EOR.
