What you should know: Mulberry has teamed up with a well-established local energy company, employing over 200 people, to hire an Office Coordinator. A day in the life:
- Serve as first point of contact at the front of the office by greeting and properly directing office visitors, answering office phones, screening calls, and distributing messages.
- Coordinate mail, shipping, and deliveries including sorting and distributing incoming mail, assisting with outbound shipments, and maintaining shipping log to track costs.
- Work with Facilities to oversee employee parking/transportation, building access and security, and ensuring policies related to security and parking are communicated and enforced.
- Support Facilities in coordinating maintenance, repair, and other services as needed for Portland office.
- Lead the Office Coordinator group to ensure all physical office locations are aware of and satisfying their facility, operations, and safety needs.
- Oversee all aspects of the Portland office and common areas, including daily maintenance/upkeep, supply choices and ordering, and vendor relationships.
- Maintains common areas including kitchen/employee break area and conference rooms.
- Mentor interns by providing support, training, mentorship, and feedback on their work.
- Provide general administrative support for various departments and programs.
- Maintain, administer and update digital resources such as SharePoint Online, communication channels, and business flows utilizing Microsoft Office and branding.
- Provide general administrative support for various departments and programs including Human Resources, Travel/Events and HelpDesk.
- Coordinate internal events, meetings, and company parties, including maintaining Outlook calendars, room availability, and catering.
Your areas of knowledge and expertise:
- High school diploma (required), associate or bachelor’s degree (preferred), or demonstrated equivalent work experience
- 2+ years of experience working in an administrative role in a professional office environment
- Skilled at working proactively, independently and as part of a team
- Experience working with people at a variety of levels within an organization
- Experience working on multiple projects and tasks with differing levels of urgency and a variety of timelines
Compensation and Benefits: $50,000 – $55,000 annually with strong benefits.
