What you should know: Mulberry is pleased to share a great opportunity to join an established privately held dental group practice who focuses on value-based care under the umbrella of a large healthcare provider. They are seeking an experienced Executive Assistant who will report to the Director of Operations for their 150-employee group for approximately nine months to cover an employee leave. They are looking to have someone start as soon as possible! Candidates with senior administrative experience supporting executives encouraged to apply.
Key Responsibilities:
- Manages Executive Dental Director’s, VP Business Strategy & Administration’s, and VP Legal Services & Government Relations’ calendars and independently schedules appointments
- Helps to enhance professional relationships by interfacing with Executive Dental Director’s internal and external contacts and maintains contact information (meet, greet, follow-up, etc.)
- Facilitates communication between the Executive Dental Director and Leadership Team
- Coordinates Leadership Team meetings, agendas, materials, action items and follow-up activities
- Supports strategic projects and initiatives on behalf of executive leadership
- Arranges complex and detailed travel plans and itineraries, compiles documents for travel-related meetings for the Executive Dental Director
- Leads and oversees planning and execution of Quarterly Business Reviews (QBRs) and QBR Mixers, including agenda development, presentation coordination, logistics, communications and leadership team and stakeholder alignment
- Coordinates additional enterprise meetings, leadership meetings, retreats and special events as needed
- Support the primary point of contact for administrative board liaison work and communications
- Help coordinate and facilitate board of director meetings as needed
Your areas of knowledge and expertise:
- A. degree in Business Administration or related field with 5 years of office experience including 3+ years’ experience as administrative support to executive level position or to several departments.
- Experience supporting executive level leaders, governing boards, or senior leadership teams in a healthcare, dental or corporate environment.
- Excellent phone skills, note taking, ability to set up and maintain filing systems, meeting, travel and event coordination skills and knowledge.
- Ability to draft organization-wide communications, research complex topics and provide reports.
- Strong MS Office suite, solid presentation, and communication skills, and the ability to problem solve in a customer service manner.
- Ability to work with and maintain confidential information.
- Experience with Access and Outlook or other electronic mail/calendar software. Demonstrated proficiency of data entry, coordination of multiple projects, ability to organize and report data in useful formats, plan/prepare meeting materials, calendaring, etc.
