This position is key to ensuring smooth operations in a client-focused firm that specializes in personalized financial services. The ideal candidate is proactive, detail-oriented, and has a passion for streamlining processes, managing complex calendars, and contributing to a collaborative and high-performing team environment.
A day in the life:
CLIENT EXPERIENCE & GENERAL ADMINISTRATIVE SUPPORT
- Direct incoming communications to the appropriate team member and manage outgoing communications, including emails and mail.
- Coordinate calendars and schedule meetings (with clients, prospects, and internal teams) while confirming appointments.
- Identify and suggest opportunities to enhance the client experience, including gifts and communication strategies.
- Maintain client records and ensure compliance with relevant policies.
- Review and refine dictations from meetings, delegating tasks to team members as necessary.
- Draft summary emails following client meetings.
- Process updates to clients’ contact information, such as address, phone number, email, and employment details.
- Assist in meeting preparation by generating performance reports.
- Record and process all transactions in the appropriate logs.
- Update and maintain the client relationship management (CRM) system.
- Support operations by creating and processing necessary paperwork.
- Handle the deposit of client checks into their respective accounts.
- Ensure a tidy and organized office environment.
- Coordinate with external vendors for the development of marketing and sales materials.
- Post marketing content on social media platforms.
- Process and reconcile client financial planning fee payments.
EXECUTIVE & SPECIAL PROJECTS
- Serve as a gatekeeper for the Owner, Advisor, and Chief of Staff by filtering communications and ensuring only relevant information is passed along.
- Assist the team with special projects as assigned.
Your areas of knowledge and expertise:
- Bachelor’s degree in Business or related field strongly preferred
- 3+ years in administrative roles in a professional environment
- Experience supporting executives
- Must be solution-oriented, able to take initiative, highly organized, communicative, and proactive
Compensation and Benefits: $55,000 – $60,000 annually plus benefits!
