You’ll manage front desk responsibilities, coordinate meetings, and support administrative functions that keep the team running efficiently. A day in the life:
- Greet clients and visitors professionally and maintain a welcoming environment.
- Answer and route incoming calls promptly and courteously.
- Manage meeting room scheduling and ensure spaces are prepared for client meetings.
- Coordinate refreshments and meeting materials as needed.
- Handle incoming and outgoing mail, packages, and courier services.
- Maintain office supplies inventory and place orders when necessary.
- Oversee office equipment maintenance and coordinate with vendors for repairs.
- Ensure compliance with firm policies and regulatory requirements for client-facing areas.
- Keep accurate records of office expenses and vendor contracts.
- Organize internal meetings, team events, and client seminars.
- Prepare agendas, presentations, and meeting materials when required.
- Manage visitor sign-in and security protocols.
- Maintain confidentiality of client and firm information.
- Uphold a polished, professional image aligned with financial services standards.
- Provide exceptional customer service and proactive problem-solving.
Your areas of knowledge and expertise:
- 2-3+ years in administrative roles in professional services
- Warm, welcoming, personable, and a strong communicator
- Service mindset, strong judgement and able to handle sensitive situations with diplomacy and confidentiality
Compensation and Benefits: $55,000 – $60,000+ annually plus strong benefits!
