Mulberry Talent Partners has joined with our client, a company located in Downtown Portland to identify an Executive Assistant to join their team. This is an onsite, full-time, direct-hire role.  You will provide administrative and operational support to the Health Services Leadership team and supporting departments. Responsibilities for this position include communication liaison, project coordination, preparing reports and data, scheduling and meeting support, planning travel, coordinating visitors and effectively prioritizing and responding to diverse requests from Health Services leaders. This position requires confidentiality, judgment, flexibility, interpersonal skills, organizational skills, strong computer skills, and the ability to work well with all levels of internal management and staff, as well as outside stakeholders.

Your Role:

  • Scope: Responsibilities include communication liaison, project coordination, preparing reports and data, scheduling, and meeting support, planning travel, coordinating visitors, and effectively prioritizing and responding to diverse requests from Health Services leaders. This position requires confidentiality, judgment, flexibility, interpersonal skills, organizational skills, strong computer skills, and the ability to work well with all levels of internal management and staff, as well as outside stakeholders.
  • Drafting correspondence, editing technical documents, preparing effective Power Point presentations, inputting, and analyzing data in Excel, creating, and maintaining organizational and filing systems, and coordinating communications with internal and external partners.
  • Calendar maintenance. Attend project meetings and report meeting minutes, decisions made and action plans.
  • Respond to routine daily correspondence. Thoroughly review all incoming materials to ensure that proper action is taken, including routing and signatures.
  • Assist in completing, distributing, and tracking various reports. This includes compiling and organizing information for monthly expense reports and budget tracking.
  • Assist with fulfilling grants and contracts management and reporting requirements for grants and contracts, as needed.
  • Complete a variety of computer-based tasks related to documentation in the appropriate format, including but not limited to typing correspondence, memos, and reports; completing applications and data entry; and creating data reports and presentations.

You Bring:

  • Bachelor’s degree in a related field
  • 3-4+ years of administrative experience
  • Healthcare experience preferred
  • Must possess a current driver’s license, access to a vehicle, qualify as an Acceptable Driver
  • Must pass a pre-employment drug screen, TB test, and background check. This includes clearance by the DHS Background Check Unit.

Compensation: $55,000-$65,000 annually
